01Who holds your data
Workrize is a recruitment service operated by ColdPressery (“Workrize”, “we”, “us”). This notice covers the public site, the app, and the phone calls our recruiters make through it.
When you create a profile yourself, we decide how your profile is used, and this notice is how we tell you. When a hiring company uses Workrize to manage its own candidates and staff, it decides how that data is used and we handle it on its behalf.
02What we record
If you’re looking for a job
- Your account: your name, email address and phone number, and that you agreed to the terms and this notice when you signed up.
- Your profile: phone numbers, gender, date of birth, address and permanent address, the kinds of job you want, your CV, your education and your work experience.
- Your applications: which jobs you applied to or were put forward for, the date, each status it moves through, your answers to the job’s questions and your assessment results.
- Invites: who invited you to Workrize, and the people you invite.
- Notes: remarks our recruiters write about you or an application, so the next person picking it up knows what happened.
- Calls: when a recruiter calls you through Workrize, the time, the phone numbers used, how long it rang and how long you talked, the outcome they record, and a recording of the call.
If you work in Workrize (recruiters, managers, hiring companies, admins)
- Your account: your name, work email, role and organisation.
- A log of changes: each record you create, change or delete, with your account and the time.
- Working states, for recruiters and managers who use the softphone: when you set yourself Ready or on Break (and the break reason, if you choose one: lunch, tea, meeting, training or other), and when you are Offline because the softphone disconnected or the app was closed or quiet for 15 minutes. Time on calls comes from the call records. We use this to measure how working time is spent.
Everyone
- Sign-ins: when you signed in, from which IP address and which browser, so you stay signed in and we can spot misuse.
- Usage analytics: which pages are opened (the page address with record ids removed and nothing typed into it), that a search or filter was used (not what you searched for), the steps of signing up, which job was viewed, and similar steps. Each record holds ids, your role (and, for a hiring company, its organisation) and the time; never your name, phone number or answers. On the public site we also record the website that sent you and any campaign tag in the link, dropping anything that looks like an email address or a phone number.
- Errors: if a page breaks in your browser, an error report goes to our own error-tracking system, with emails, phone numbers, long numbers and search text removed.
- Messages you send us: if you use Talk to us, your name, company, email, phone, message, whether you’re happy to be called, and the page and campaign you came from.
All of this stays in our own systems. We don’t sell it, and we don’t send your usage to an analytics or advertising company.
04Who sees your profile
- You.
- The recruiter who looks after your profile, and their manager.
- Our admins and operations team, to run the service and help you.
- A hiring company, once you apply to or are put forward for one of its jobs. Only the people at that company see it, and only for candidates connected to its jobs. If you turn off Show my gender to employers or Show my date of birth to employers on your profile, they don’t see those.
Nobody else. The companies that run our servers, deliver our emails and connect our phone calls handle data only to provide that service to us.
05Download or delete your data
Sign in and open Profile. At the bottom, under Your data:
- Download my data saves a PDF of everything we hold about you, in labelled sections. Download as JSON saves the same thing as a file another service can read.
- Delete my account asks for your password, then hides your profile, CV, answers and applications from everyone at once and signs you out. For 15 days you can get it back by writing to operations@coldpressery.in. After that it is erased: your CV file and call recordings are deleted, then your profile, applications, answers, notes, calls and account. Usage records stay, but no longer point to you.
If you work in Workrize, or can’t sign in, write to operations@coldpressery.in and we’ll do it for you.
06How long we keep things
- Usage analytics: 13 months. After that only weekly totals remain, with no id for any person.
- Call recordings: deleted 90 days after the call, or 15 days after you leave the application the call was about, whichever comes first, unless a recording is kept for a dispute or for coaching.
- A deleted account: 15 days, then erased as above.
- Everything else stays while your account is open, until you or the hiring company that holds it deletes it.
07Your choices
You can correct most of your details yourself on your profile. You can ask us what we hold about you, ask us to correct or erase it, or withdraw the consent you gave when you signed up, by deleting your account or by writing to operations@coldpressery.in. If you applied through a hiring company, you can also ask that company.
08Keeping it safe
Every page is served over HTTPS. Each person sees only what their role allows, and a hiring company sees only its own candidates. No system is perfectly secure.
09Changes and contact
When this notice changes, the date at the top changes too. For anything about your data, write to operations@coldpressery.in. See also our Terms of service.
