Calling minutes

Record top-ups of calling minutes and see the estimated minutes left in each pool.

Last updated: 20 October 2026

Calling minutes are bought from the calling provider in two separate pools: outbound (calls we make) and inbound (calls to our numbers). The provider does not tell Workrize how many minutes are left, so admins record each top-up here and Workrize estimates the rest. The provider's portal is always the final word.

Select Telephony in the sidebar and find Calling minutes. Only administrators see it.

Start tracking a pool

A pool shows Not tracked until it has its first entry. Read the balance the provider's portal shows now, then record it under Record a top-up: choose the pool, enter the minutes, and leave When as now. This first entry is the pool's opening balance, marked as such in the list.

Record a top-up

Each time minutes are bought, record them: the pool, the minutes added, when they were added, and a note if it helps (an invoice number, say). A date in the future is refused.

A mistyped entry can't be edited. Select Delete, then Confirm delete, and enter it again.

Read the estimate

Each pool shows about N minutes left: the minutes recorded, less the minutes our own calls in that pool have used since the opening balance. Calls that nobody answers use minutes too.

The estimate drifts if the provider charges for something Workrize didn't see. When it disagrees with the portal, record the difference as a top-up.

The alert

Each pool has an Alert below level, 1,000 minutes to start with. Change it and select Save.

When a pool's estimate drops below its level:

  • every admin page shows a banner naming the pool and the estimate, with a link back here;
  • the alerts inbox gets an email.

Both clear once a recorded top-up lifts the pool back over its level.
