For recruiters
Call candidates
Call a candidate through Workrize, use the phone panel, and what happens if your connection drops.
Last updated: 3 October 2026
When calling is switched on for you, you can call candidates from inside Workrize. The call goes out from a company number, and your side of the call is connected first: through the phone in your browser when it shows as ready (it answers by itself, so your mobile does not ring), otherwise by ringing your own phone number. The candidate is dialled once your side is connected.
Where to call from
- A candidate's page: select the phone button (Call candidate). Hover over it to see why, if it is unavailable, for example "Candidate needs a phone number to be called".
- A row on Candidates: the phone button at the end of the row, when the candidate has a number. It shows only if you can place calls from Workrize.
- Call queue under Recruitment: work through who to call next.
- My calls under Insights (Calls for line managers): the calls placed through Workrize, what happened on each, and the recording where there is one.
These items appear only when calling is switched on for you.
The phone panel
While a call is in progress, a phone panel shows what is happening:
| The panel says | What is going on |
|---|---|
| Connecting your browser phone… | The call has been requested and the phone in your browser is connecting. |
| Your phone will ring first… / Ringing your phone first… | Your browser phone is not ready, so the call rings your own phone number instead. Answer it to go on. |
| Calling followed by the candidate's name | Your side is connected and the candidate's phone is ringing. |
| Connected | The candidate answered. |
During the call, Mute and Hang up are in the panel. If a call rings in with Answer and Decline, it is the call you placed: answer it to go on.
Your browser must be allowed to use the microphone. If it is not, the panel says "Microphone access is blocked, so calls cannot connect": allow it for this site and reload the page.
Hanging up
- If you hang up before the candidate answers, the ringing tone stops and stays stopped.
- If you press Decline on your own ringing phone, the tone stops too.
- Your next call rings as usual.
If your connection drops
If your internet or the calling service drops out during a call, the call itself carries on. Once the call ends, the phone reconnects by itself and returns to Phone ready, without reloading the page. This also works if you press Hang up while the connection is down.
A call that only rang and was never answered does not hold the phone back from reconnecting. When you come back to the tab, the phone tries to reconnect at most once every 30 seconds.
Record how the candidate responded
When a call connects, Workrize asks How did the candidate respond?: Interested, Not interested, Call back (pick a date and time) or Do not call. You can't save a connected call without one. It sets the candidate's status, and every answer stays in the call history.
- Calls from the phone panel: choose the response under the finished call and select Save response.
- Calls you log by hand: choose Connected in Log outcome, or in the call queue, and the question appears there.
Share a link to a call
Each row in My calls (Calls for line managers and admins) has Copy link. It copies a link to that one call, which you can paste into a sheet, for example to keep a call-listening tracker.
- Opening the link shows the Calls page with only that call; select Show all calls to go back to the full list.
- The link never contains the recording itself. Whoever opens it signs in first, and sees the call only if they could already see it in their own Calls list.
- Export adds a Link column with the same link for every call, so a whole list can go into a sheet at once.
Callbacks due and missed calls
Your Call queue shows two lists above the next person to call:
- Callbacks due are the callbacks you scheduled with Call back.
- They are grouped as Overdue (the time has passed) and Due today; later ones are under Show later.
- Calling the candidate closes the callback, whatever the outcome.
- Mark done closes it without a call.
- Scheduling a new callback for the same candidate replaces the old one.
- Missed calls are candidates who rang the company number when nobody could answer. Call them first.
Working, Break and your working day
A pill in the top bar, beside the bell, shows your working state.
- Choose Working when you are taking calls, Break (with a reason if you like: Lunch, Tea, Meeting, Training or Other), or Offline.
- The first time, a notice explains what is recorded. Nothing is recorded until you select I understand.
- On call and Wrap-up are filled in for you. Wrap-up runs from hanging up until you log what happened, for at most five minutes.
- If the phone disconnects, you show as Offline. When it reconnects, your earlier state comes back.
- If the app is closed for 15 minutes, you show as Offline from that point. When you come back, choose Working again.
My working day (under Insights) shows one day as a single bar, with time in each state and every change in order. You, your line manager and admins can see it.
Do not contact
If a candidate asks not to be called, choose Mark do not contact from Log outcome. They drop out of your call queue and the phone will not dial them. Only your line manager or an admin can lift it, from the same menu (Allow contact again).
