Review applications

Review applicants and view their CVs.

Last updated: 17 October 2026

When candidates apply to your vacancies, their applications arrive in your organization's workspace, where you can review each applicant and their CV.

Your hiring at a glance

The top of your organisation's Dashboard answers two questions: what is waiting on you, and how is your hiring going.

Right now (as of today):

  • Waiting on you: candidates shared with you or interviewed and waiting on your decision, split into Over 5 days (marked in marigold) and Under 5 days. The clock starts when the candidate entered their current status.
  • Coming up: offers awaiting acceptance. Interviews in the next 7 days show "Waiting for data" until interview dates are recorded.
  • Open positions, and how many vacancies they sit in.

For the period you choose (the last 90 days by default):

  • Your hiring funnel: Shared with you, Interviewed, Offered, Joined.
  • Time to fill: how long your filled vacancies took.
  • Your recruiters: the people in your own team, and how many candidates each moved.

Select any number to open the candidates or vacancies behind it. Lists show names only. You always see one organisation at a time: the Client chip at the top names it, and it cannot be changed there. If you belong to two organisations, switch from the sidebar.

Awaiting your response

Your organization's Dashboard has an Awaiting your response panel listing every candidate waiting on a decision from you, oldest first. It is the same list your referral and follow-up emails are about, and reviewing a candidate from it also stops their follow-up emails.

The tiles above the list count the whole queue: Candidates waiting, Waiting 3+ days (candidates who have been in their current status for three days or more), Oldest (days) and Vacancies involved. Use the status and vacancy filters to narrow the list; each option shows how many candidates it holds, and the tiles keep counting the whole queue whichever filter you choose. The list shows ten candidates at a time; use Next and Previous to page through all of them.

Find applications for a vacancy

Open Vacancies

Inside your organization, select Vacancies in the sidebar.

Open the vacancy

Select the vacancy you are hiring for to see its detail page and listing.

Open an application

From the vacancy's applications, select an applicant to open their application detail view.

The vacancy's Applications tab can be filtered by column. Assessment score, above the table, shows only applicants whose most recent result in a module is at least the percentage you choose; while it is on, the counts beside every other filter option count only the applicants who meet the score. A date range filter includes the whole of its last day.

Online tests. Your organisation's own assessment modules can have online tests. Under Assessments, select Questions on one of your modules to write them: each question has 2 to 6 options and one correct answer. Our recruiters invite candidates, and a candidate's tests, with their times and scores, show under Online tests on their Assessments tab. You see the tests on the Workrize catalogue and on your own modules, never another organisation's.

The applicant count for a vacancy is the same everywhere you see it: on your Dashboard, in the vacancies list, at the top of the vacancy and in the total under its Applications tab. It counts the applications you can open, so candidates still waiting for review by our team are not included until they reach you.

The application detail view

An application's detail view brings together everything you need to assess the applicant:

  • Candidate Info — the applicant's contact details, candidate status, rating and address, set out in cards, and a Personal details card with their gender and date of birth. Each candidate chooses whether you see these two: a detail they keep private is left out, and if they keep both private there is no Personal details card. A candidate who keeps their date of birth private also keeps their answer to any date of birth question private: it is left out of their screening answers, your reports and your exports, and filtering by that question never finds them. Not provided means they have not filled it in.
  • CV — open the candidate's CV directly from the application to review their experience in full.
  • Screening answers — if your vacancy asks screening questions, the candidate's answers appear with the application.
  • Status and history — where the application currently stands and how it got there.

Move applications forward

Applications progress through interview and offer stages — for example, scheduling an interview, recording the outcome, and moving a selected candidate through offer and joining. Status changes are visible to everyone involved in the process, and candidates are notified when their application moves.

The Evaluation Stages panel on the application lists the vacancy's stages, with Approve and Reject on each. Approve opens a remark to record with your decision.

Reject asks why, from a short list:

  • experience short
  • skills gap
  • salary mismatch
  • notice period
  • role filled
  • position on hold
  • no-show
  • other

If you choose Other, write the reason; it is saved as a remark on the stage. The stage then shows Rejected with your reason. Rejecting a stage does not change the application's status, so the recruiter sees your decision and acts on it.

Change a stage's evaluator

On a vacancy, open Stages & Config and select the pencil next to a stage. The Evaluator list searches every member of your organization — type part of a name to find someone who is not in the first few shown. Save Changes assigns the person you picked; reopening the stage shows them.

When you email a report, the + next to To, Cc and Bcc opens a searchable list of your organization's members.

What you can change

  • You can change the status of applications, and approve or reject their stages, only for your own organisation's vacancies. A change to another organisation's application is refused with Access Denied.
  • You can add and read remarks only on applications you can open. Applications still waiting for admin review before they reach you are not among them.
Note: Recruiters and line managers work the same applications from their own workspaces. Use remarks and status changes rather than email to keep everyone aligned — the application history is the shared record.

Joiners: still in role?

Your dashboard lists the candidates who joined you, with their 30- and 90-day checks: due dates, and the answers once they are in.

  • Your recruiter confirms first. You are asked only when they could not reach the joiner: the question Is (the joiner’s name) still with you? appears at the top of the card.
  • Select In role, or Left and their last day.
  • We never ask this by email; it is only ever here.
