The terms Workrize uses, defined once. Other documentation pages link here rather than redefining terms — if a word in a guide is unclear, this is the page to check.
Hiring pipeline
Position
The reusable definition of a role in an organization — its title, requirements, and details. An organization defines a position once and hires against it many times.
Vacancy
A concrete opening for a position: this role, at this branch, being hired for now. One position can have many vacancies over time.
Job
The published listing for a vacancy that candidates see on the jobs board. A job moves through statuses — draft, approved, live, paused, closed, archived — and candidates only see live jobs.
Application
One candidate's submission to one job, including their CV and screening answers. An application carries a status that tracks it from review through interview, offer, and joining.
Stage
A step in the application pipeline, such as interview scheduled or feedback awaited. Moving an application between stages is how recruiters record progress.
People
Candidate
A job seeker. Candidates maintain a profile and CV, apply to jobs, and track their applications.
Recruiter
A platform user who sources candidates, qualifies them, and moves applications through the pipeline.
Line manager
A platform user who supervises recruiters. Line managers have all recruiter tools plus a Team view.
Member
A person belonging to a client organization, with an organization role such as admin, member, or hr that controls what they can do inside that organization.
Organizations
Organization
A client company that hires through Workrize. An organization holds its own members, branches, positions, and vacancies.
Branch
A location or business unit within an organization. Vacancies are attached to a branch.
Platform
Question pool
The platform-wide library of screening and assessment questions, organized into categories. Vacancies draw their candidate questions from this pool.
Referral
A candidate put forward for a role. Referrals can require administrator review before they progress.
Remark
A note recorded on a candidate or application — call outcomes, interview feedback, context for colleagues. Remarks are part of the shared record.
