Email a report

Send a vacancy's report to a client from the email composer, and what happens to placeholder addresses.

Last updated: 3 October 2026

Admins can send a vacancy's report straight from Workrize. The email carries the report as a table and as an attached report.xlsx.

Send a report

Pick the applications

Open the vacancy and stay on its Applications tab. Tick the applications to include, then select Generate Report.

Pick a template

Choose a report template and select Next, then Generate Preview.

Open the composer

Select Send via Email. The Compose email window opens with the report already in the body.

Send

Fill in To (and Cc or Bcc if you need them). Separate several addresses with commas. Select Send now.

How screening answers read

A report column that shows a screening answer prints it the way a reader expects: a multiple-choice answer as words separated by commas (MBA, B.Com), a range as its two ends (3 – 5), and a date or date of birth as a day, month and year (01/05/1990).

Candidates at the follow-up limit

If you pick a Referral or Follow-up template in the composer (Templates), candidates who have reached the follow-up limit are left out of the email completely: the table in the body, the attached report.xlsx and their CVs.

  • Send waits for the check. While Workrize checks the limit, Send now is held.
  • If nobody is left, you cannot send. When every candidate in the report has reached the limit, the spreadsheet is removed, a note explains why, and Send now is switched off.
  • Pick the template first. The email text is rebuilt when you pick a template, so choose it before you write your own text.

Placeholder addresses

A candidate imported without an email address has a placeholder address made from their phone number, such as 9876543210@migrated.local. It cannot receive email, so Workrize never sends to it.

  • Some recipients are placeholders. The email goes to everyone else. A warning then says Email sent, but not to: and names the placeholder addresses that were left out.
  • Every recipient is a placeholder. Nothing is sent. An error says Email not sent — every recipient is a placeholder address, and the composer stays open so you can change the recipients.

See Import candidates for where placeholder addresses come from.
