For administrators

Manage users and roles

User administration and the roles and permissions model.

Last updated: 17 October 2026

Administrators manage every account on the platform and control what each role can access. User administration lives under Users; access control lives under Roles.

Manage users

Select Users in the sidebar to see every account on the platform. From here you create internal accounts (recruiters, line managers, staff), edit user details, and manage account status.

Each user has one account status:

StatusWhat it means
ActiveThe user can sign in and work normally.
InactiveThe account is disabled.
PendingThe account is created but not yet fully set up.
UnverifiedThe user has not completed verification.
BannedThe user is blocked from the platform.
  • See who is online: the Last Active column shows a green Online dot for anyone using Workrize in the last two minutes, and how long ago otherwise (Never if they have not signed in). The list refreshes itself every 30 seconds. Viewing the app as another user does not mark them online. Candidates' activity is recorded every five minutes, so a candidate shows Online for up to seven minutes after their last visit.
  • Deactivate several at once: tick users and choose Deactivate in the bar at the bottom of the list. You have a few seconds to Undo; after that they are signed out everywhere and cannot sign in until you reactivate them. You cannot deactivate yourself.
Warning: Deactivating or banning a user signs them out at once, in every browser where they are signed in; reactivating them does not bring that session back, so they sign in again. Reassign their candidates and applications before you disable a recruiter's account, or that work goes unwatched.

Line managers

Select Line managers in the sidebar to see every line manager and how many recruiters each one has. Select Manage on a row, then the Members tab, to see the recruiters assigned to that line manager; Remove takes a recruiter off the team.

Both lists show ten rows a page by default; change it with Rows per page (10, 25, 50 or 100) below the list. On User Management, type in Search users to find someone by name, email, role or status: "Client" lists every client, "Line Manager" every line manager, "Active" every active user. The results update as you type. You can also use the filter icon on Name or Email, and select a column heading to sort by it: the first click sorts A to Z, the second Z to A, and the third returns the original order.

The role hierarchy

Every user has exactly one platform role, which determines their workspace and sidebar:

RoleAccess
godUnrestricted super-administrator access.
adminFull platform administration — everything described in the admin guides.
staffInternal staff with a subset of administrator access.
lm (line manager)Recruiter tools plus the Team view for supervising recruiters.
recruiterSourcing, candidate process, vacancies, and applications.
clientOrganization workspaces: members, branches, positions, vacancies, applications.
candidatePersonal profile, job applications, and application tracking.

Sidebar items, routes, and data access are all filtered by this role — when a user reports a "missing" menu item, check their role first.

Roles and module permissions

Select Roles in the sidebar to manage the permission model. Roles defines the roles themselves, and Modules controls which functional areas each role can reach. Use these pages to review what each role can access rather than granting individual exceptions.
